1. Who We Are
Stages (“Stages,” “we,” “us,” or “our”) operates the Stages platform at stages.fyi. This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our Service.
2. Information We Collect
Waitlist entries
- Email address: required to join the waitlist
- Name and organization: optional fields collected at sign-up
- Timestamp and source: when you joined and how you found us
Speaker profiles
- Contact information: email address and name
- Profile details: photo, bio, positioning statement, topic tags, social URLs, fee range
- Audience preferences: demographic preferences and event-type fit signals
- Availability: calendar availability you provide
- Public profile slug: your vanity URL on the platform
Organizer accounts
- Contact information: email address and name
- Organization details: organization name and event details
- Internal notes: notes you create about speakers or bookings
Agency accounts
- Contact information: email address and agency name
- Billing contact: billing contact information for the agency
- Managed speakers: roster of speakers managed by the agency
Audience feedback
- Ratings and comments: overall rating, optional topic ratings, written comment
- Respondent identity (optional): respondent name and email address, if voluntarily provided (used only for dispute resolution)
- Engagement reference: the engagement code linking feedback to a specific event and speaker
Information collected automatically
- Usage data: pages visited, features used, time spent, referring URLs
- Device data: IP address, browser type, operating system
- Cookies and similar technologies: session tokens, analytics identifiers
Payment information
When a payment processor is engaged, billing details are processed by that provider; we do not store full card numbers (cards are tokenized by the processor). A payment processor integration is currently pending.
3. How We Use Your Information
We use the information we collect to:
- Create and maintain your account and speaker profile
- Provide, operate, and improve the Service
- Match you with relevant speaking opportunities
- Generate AI-drafted pitch content for your review and approval
- Submit approved pitches to CFP platforms on your behalf via the AI submission agent
- Display audience feedback on speaker profiles and provide aggregated insights
- Send transactional emails (account activity, billing, pitch status)
- Send product updates and marketing communications (you can opt out at any time)
- Detect and prevent fraud, abuse, and security incidents
- Comply with applicable laws and regulations
We do not sell your personal information.
4. How We Share Your Information
We do not sell your personal information. We may share it in the following limited circumstances:
With service providers
We share data with the following third-party service providers who help us operate the Service. Each processes data only as directed by us and is subject to confidentiality obligations.
- Clerk: user authentication and session management; processes email address, name, profile photo, social-login identifiers, and session tokens.
- Supabase: primary database and file storage; processes all profile data, pitches, opportunities, audience feedback, and application metadata.
- Resend: transactional and broadcast email delivery; processes email address and email content.
- Browserbase: automated browser submission agent; processes approved pitch content and target form data on the speaker’s behalf when submitting to CFP platforms.
- Inngest: background job orchestration; processes job metadata and job-input payloads (e.g., pitch drafts, scoring inputs).
- Vercel: application hosting and edge functions; processes request metadata (IP address, user-agent), logs, and cached pages.
- Anthropic: AI language model (Claude); processes pitch content, speaker profile data, and opportunity descriptions to generate pitch drafts and improve submission quality.
- Meilisearch: search index; processes indexed speaker profile and opportunity data to power search functionality.
The following services are integrated into the product and process data only when configured (i.e., when the corresponding API keys are provisioned): People Data Labs (professional profile enrichment during speaker profile bootstrap: processes public LinkedIn and professional data); OpenAI (semantic search embeddings: processes document text to generate search vectors); Serper.dev and Perplexity (Speaker Score visibility probes: processes speaker name as a search query to calculate AI footprint metrics).
Calendar and conferencing integrations (Google Calendar, Zoom)
If you choose to connect a calendar or conferencing account, Stages accesses that account only to provide the scheduling features you use:
- Google Calendar (Google OAuth scope
calendar.events), with your authorization, we read your events to detect conflicts and show accurate availability, and we create, update, and delete the meetings and booked calls you make in Stages so both calendars stay in sync (including Google Meet links on booked calls). We only create or modify events that originate from your actions in Stages or that carry our internalvoices_event_idtag; we do not read, store, or share the contents of your unrelated personal events beyond the free/busy information needed for conflict detection. - Zoom (scope
meeting:write), with your authorization, we create a Zoom meeting on your behalf when you book or schedule a call, and store the resulting join link and meeting ID against that booking. We do not access your other Zoom meetings, recordings, or contacts.
OAuth tokens for these integrations are encrypted at rest and are deleted when you disconnect the integration or delete your account. You can revoke access at any time from your account settings or from your Google or Zoom account security settings.
Limited Use. Stages’ use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Calendar data is used solely to provide the user-facing calendar and booking features described above, is not transferred to others except as necessary to provide those features or as required by law, is not used for advertising, and is not read by humans except with your explicit consent, for security or legal purposes, or to comply with applicable law.
When a payment processor is engaged, this section will be updated with the processor’s name and the data categories they process (typically name, billing address, and payment method tokens, not full card numbers).
Audience feedback sharing
Organizers who have booked a speaker through Stages may view summary audience feedback for that speaker. Individual respondent names and emails are not shared with organizers.
Public profile information
Your speaker profile, including name, photo, bio, topics, and testimonials, is publicly visible by default. You control what information appears on your profile.
With other users
When you submit pitches to organizers, request or receive testimonials, or participate in platform interactions, relevant information is shared with those users as part of normal platform operation.
Legal requirements
We may disclose your information if required by law, subpoena, or government request, or if we believe disclosure is necessary to protect the rights, property, or safety of Stages, our users, or others.
Business transfers
If Stages is acquired, merged, or undergoes a change of control, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on the Service before your data is transferred and becomes subject to a different privacy policy.
5. Cookies and Tracking
We use cookies and similar technologies to maintain your session, remember preferences, and analyze usage. You can disable cookies in your browser settings, but some features of the Service may not function properly without them.
We do not use third-party advertising cookies or sell data to advertisers.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal information within 90 days, except where we are required to retain it for legal, accounting, or fraud-prevention purposes.
7. Security
We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews. However, no system is completely secure. We cannot guarantee absolute security of your data.
8. Your Rights and Choices
Depending on your location, you may have the following rights:
- Access: request a copy of the personal data we hold about you
- Correction: request correction of inaccurate data
- Deletion: request deletion of your personal data
- Portability: request your data in a machine-readable format
- Opt-out: unsubscribe from marketing emails at any time via the link in any email

9. Children’s Privacy
The Service is not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.
10. International Users
Stages is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service, you consent to this transfer.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice in the app at least 14 days before they take effect. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.
